Jumping Lessons:
The lessons with Gary went well apart from two people who turned up on the last day without booking, or paying.  Coralie will check with Rachel to see if they paid her.

Dressage Lessons:
Steven Field is not available for dressage lessons.  Sally will ask Anna Wagner if she is available and organise (early December).

Spring Show:

Dressage Lessons:

As we have had a few jumping lessons recently it was decided to hold some dressage lessons at the club grounds.  Maggie will contact Stephen Field to enquire about availability, costs etc.

Spring Show:

·Date - 4 November 2007
·Flat judge - Liz Hutson has confirmed
·Jumping judge - Rachel to contact Fiona Bentley
·Sponsorship:
·Helen has put together some sponsorship packages and approached Dwights, Warehouse               Grains, Barrys Place, and Saddlery Warehouse.
·Warehouse Grains are interested but not sure about $500 - can maybe do $250.
·Part of the $500 sponsorship package is for a survey being completed by members.
·Another option is a confidential business - if we can put a sewing group (8 people) together               they will give us $500.
·Another contact is B&P Engineering
·Paula to contact Jean re the games for the programme
·Programmes to be sent out early October
·Ribbons and sashes to be ordered.

Trust House Funding/Grant:

·We have received a grant for $10,000 for the plumbing and drainlaying.
·Quotes include toilet and basin plumbed in
·Taps are to be put inside and out
·A provision for sink and taps is to be included
·Looking at end of 2007 for completion.

Camp:

·After discussion it was agreed to look at holding the camp in January as March is getting too           late in the season.
·Maggie will ask Gary and Becky Penn if they are available as instructors
·Helen to seek funding
·Rachel will check if Battle Hill is available Anniversary Weekend.
·Rachel put forward a motion to contact Pelorus Trust for funding of $1,000 towards the camp.                                       Passed - CoralieSeconded - Nicky

General

·Karen Thompson suggested a ‘buy, sell and swap’ day for a rally, with saddle fitting with Sarah Linon.  It was decided not to hold a saddle fitting day.  We may hold a ‘buy, sell and swap’ as part of a xmas function at the grounds early December.

·Rachel has received one set of ribbons from NZ Riding Clubs celebrating the 25th anniversary - to be used for something.

·Rachel suggested holding a photo competition again.  Have a social night when they are all on display and judged.

·Rachel has asked for a quote for a sign for the front gate requesting all manure/hay to be removed from the carpark.  Approx $60.  All agreed to proceed.

·Rachel is organizing Agricontracts to mow the grounds.

·Gary will be holding jumping lessons again on 7th October - Coralie to send out email to see if any takers (80-90cm)

·Many thanks to Gary for the free jumping day on 16th September - it was enjoyed by all who attended.

·Shed keys - Rachel, Nicky (6 Collets Road) and Paula have shed keys

Winter Dressage Series:

·It was a successful event this year (apart from the weather on some days) The committee gave Karina a big thank you for all the hard work she has put in to organise this series. After discussion the following was agreed for next year:
·limit the number of entries to 40
·have more time between the AGM and the start of the series
·to be held over 3 months - 1 day per month
·look at the test times (for the shortest day)

Spring Show:

·Dates proposed were 22nd October or 4th November - Paula to check around other shows and advise.
·Games - Jean has proposed to organise/run these.  Jean to send Paula a list of the games for           the programme.  Karina has offered to help run/judge.
·It was proposed to hold a Gamblers Stakes competition in the jumping.
·Coralie agreed to contact Liz Hutson (or Niele) to see if they can judge, once the date has                 been confirmed.
·Karen offered to help on the day.
·Paula will look after the programme and entries
·Entry fee was agreed at $5 per section, or $10 for all three sections
·Ribbons - champion and reserve champion for the flat classes
·Sponsorship - Helen offered to approach various suppliers for sponsorship.  Paula to send her            sample letters used in the past.

Jumping Lessons:

Gary Sinclair:
Maggie to ask if he can do an extra 1 hour lesson for our members - max 5 people.  $10 paid in advance.  Dates - 2 Sept, 23 Sept, 12 Oct at 1pm.

Annie Mahoney:
Coralie to contact to see if she’s available other dates for further lessons.

Paula to email Jean with dates grounds in use to put on website.

Funding/Grant:

Coralie put forward a motion to apply to Trust House for funding for drain laying and plumbing for a toilet in the shed.  Rachel is getting quotes.  Passed - Coralie. Seconded - Heather.

General

·Garage keys - Rachel, Heather, Coralie and Paula have keys for the garage.  If you wish to use the garage please email Rachel in the first instance.
·A reminder to all club members - please pick up poo and hay from the carpark.
·It was decided to set up a "dunny fund" to raise money towards a permanent toilet.  Coralie will put an old toilet in the shed.  All donations appreciated.

Jumping Day - Annie Mahoney:
·We have arranged jumping lessons with Annie Mahoney on Sunday 12th August.
·There will be four groups of four and will be run on a first in first served, payment up front basis.
·The cost will be $15 per member.
·Paula & Coralie will send out an email in a couple of weeks.
·No refunds will be given unless we cancel the day.

Ground Availability
·Te Marua PC have hired the grounds on the 19th Aug, 2nd Sept, 23rd Sept, and 12th Oct for jumping lessons with Gary Sinclair. 
·We are receiving $50 a day for arena hire and they are using it from 10am-1pm. 
·Two rain off days are booking - 16th Sept and 30th Sept.
·It was agreed to ask Gary if he could stay for an extra hour for our members.  This will be on a cash up front basis and no refunds.

Spring Show
·Date set for 28th October.
·Paula to organize programme and collect entries
·Coralie to arrange judge
·Other tasks to be allocated.

Other
·Newlands/Paparangi Riding Club are still keen to hold a challenge day with us.  Discuss further
·A suggestion was made to hold a "recycled ribbon day" - fun day.

Winter Dressage Series:

·Seek writer’s and helpers for day one at the AGM
·Judges- Coralie will purchase wine for Julie & Val and we will ask Heather if she can help supply morning & afternoon tea for them.
·Rachel will email members to advise of arena setup prior to AGM on Saturday instead of Sunday.
·Ribbon inventory has been done, we have enough single prize ribbons for day one including some spares for equal placings. We will need to order more including the overall sashes prior to day two.

Grounds:

Garage insurance: We will act upon the insurance quotation from Thorners Insurance Brookers ASAP and cancel current policy with State.  A cheque will be issued for annual premiums of $338.07 at the AGM and sent with confirmation next week.
We will expect a partial refund from State for premiums paid at the beginning of the year.

Spare keys will be cut for the club garage and allocated to a couple of committee members for access at events and rallies.  Rachel will have these available at the next committee meeting.

Lessons:

Jumping lessons have been confirmed with Annie Mahoney to take place at the grounds on the 12th of August.
Further information and details will follow closer to this date.

AGM

·New membership forms will be updated for the 2007-2008 financial year and released at the meeting on Saturday.  A further copy will be distributed via email to last year’s members on Monday and will be posted on the web page also.

26th APRIL 2007 (Rachel burnnand’s)

Camp:
Another awesome year at camp enjoyed by all.  Our coaches have proven to give very valuable training benefits to all of those that attended, as they have always done in previous years!  A Big thanks to Gary and Beccy for all their encouraging tuition and help throughout the weekend.

Autumn Show:
A fantastic day for the Autumn Show this year, with 22 riders and plenty of spectators being the best turnout yet for the event.
Results and pics have been posted on the webpage for viewing along with our presence on the front page of the local rag!
The gathering of members to the official opening of our new garage along with the bbq lunch and stunning weather was just perfect.
We are yet to receive the sponsorship cheque from Versatile Buildings for $300.00- Rachel will forward our bank account details for a direct deposit.

AGM:  Proposed for Saturday 9th of June at the club grounds.  2.30pm

·The Notice of our AGM has been sent to the leader for publishing and will appear in Kim Cheesemans Noticeboard also.  All necessary documentation will be printed and posted out with the Winter Dressage Series program.

·A request shall be made for the cup & shield holders from the previous year to return these at the AGM or prior for presentations.

·A letter regarding sponsorship required for this event has been sent to Golden Homes for their consideration.  If we are declined we will actively have to seek sponsorship through other local businesses. We shall enquire with the manager of the Short Straw Café in Whiteman’s Valley also.
·Karina Ewert will be responsible for all entries and preparation of the draw this year- her details will be noted on the program.
·Coralie will seek judges available for the entire series and book them ASAP.  Writers will need to be sought for the 3 days, a memo will be sent out via email.
·Arena set up and practice will take place one week prior to day 1- this being Sunday 10th June.

Grounds:
Quotations to insure our garage need to be obtained, as this has been forgotten upon the construction phase being completed!
We will look at adjusting our current policy with State Insurance and look at competitive alternatives also.  Insurance will need to be in place ASAP, so will make this a priority.

Lessons:
With the calendar fairly busy over the next couple of months we anticipate to slot some jumping lessons in August following the Winter Dressage.  Coralie will make contact with Annie and book a date for us.

20th May- Introduction to dressage for beginners.
There have been a few requests that we hold something low key and relaxed for those who have not even step foot into a dressage arena that would like bit of an introduction to it all.  We will meet at the club grounds at 1.00pm to approx 3.00pm to discuss all arena craft basics, and answer any questions that arise for those who wish to give it a go.

21st MARCH 2007 (Coralie Walton’s)

Camp:
·A portion of our funding applied for has been granted from NZ Community Trust.  The amount of $500.00 was received, leaving us with a shortfall of $1200.00.
·Gary and Rebecca agreed to lower their fees to help compensate some of the costs.  Camp registrations had been increased to $45 this year to cover the remaining funds needed to ensure we could go ahead. Registrations were updated, mailed out and spaces were filled within a couple of days.
·Everything is in order and prepared for camp this weekend.  Rachel will arrive fairly early Sat morning to ensure gates are open and unlock the Pony Club shed ect.

Autumn Show:
·The show program is complete and ready to email to members.  A charge of $15.00 has been decided per entry for attending the entire day.
·Judges are booked: Liz Hutson & leia McEvoy for the flat classes and Fiona Bentley will take care of the jumping.
·A message will be sent to require helpers for the set up of the jumps on Sat 14th- Gary will help with the course layout possibly on the Saturday but if not he will adjust what we set out on the day.
·Portaloo has been booked and ribbons ordered.
·Rachel has enquired through Versatile Buildings re: sponsorship for the show and they are pleased to donate $300 to cover the overhead costs of the event.  Printing of there acknowledgment has been arranged for the overall sashes and has been documented on the program.

Camp:
·Propose to members a potluck dinner for Saturday evening?
·Re- stock clubs tea & coffee supplies, purchase rubbish bags, cups & cutlery ect for dinner
·Purchase goodies for morning & afternoon tea (and lunch for Rebecca & Gary)
·Have cheques & thankyou cards ready to issue to instructors on Sunday
·Wait for funding application decision to come through- if not accepted we may have to increase camp fees to $40- $45 to be able to continue the weekend.  This will be indicated on registration forms.

Autumn Show:
Date confirmed for the 15th April (Rain or shine)- Will need to seek sponsorship to cover overhead costs.
We have the possibility of fundraising for this event by running the shop for the UHPC gymkhana next month.  Heather will enquire with the pony club committee.

Grounds:
·As the grounds have become significantly overgrown and difficult for us to maintain we will enquire about having it mowed by a contractor ASAP.
·Different ideas have been in discussion, regarding forming some of the unoccupied space just inside the club grounds into some much needed carparks.  Rachel will approach her brother from Oldfields for recommendations and perhaps having some hardfill ect donated to the club.
